What goes in a salary slip

Every line of the format, in simple words.

Company and employee details

Company name and address, the month, employee name, ID, designation, PAN, UAN and ESI number.

Days

Days in the month and paid days. Loss of pay days are the days with no salary.

Earnings

Basic, HRA, conveyance and other allowances, plus overtime and bonus. If someone is paid for fewer days, each part is cut in the same ratio.

12% of basic pay. Most companies take basic only up to ₹15,000, so PF is at most ₹1,800.

ESI

0.75% of gross pay, only when the full monthly gross is ₹21,000 or less. The company pays another 3.25%.

PT and TDS

Professional tax depends on your state. Some states have none. TDS is income tax, cut only when it applies.

In the sample above: basic for 30 of 31 days is ₹12,000 × 30 ÷ 31 = ₹11,613. PF is 12% of ₹11,613 = ₹1,394. ESI is 0.75% of ₹19,354 = ₹146, rounded up.

Wage slip format for daily wage workers

For labour, helpers, drivers and security guards paid by the day. It shows days worked × daily wage, overtime hours, advance taken and food or room deductions. It works for cash pay too.
Example: 26 days × ₹650 + 10 hours overtime × ₹100 = ₹17,900. After ESI and a ₹2,000 advance, net pay is ₹15,765.

What is the format of a salary slip?

A salary slip has the company and employee details at the top, then earnings on one side and deductions on the other. At the bottom is the net pay, in numbers and in words. The sample on this page follows that format.

How do I make a salary slip in Excel?

Is a salary slip compulsory?

Labour laws ask employers to give staff a wage slip. The exact rule depends on your state and on the laws that apply to your business. Giving a slip every month is a good habit, and your staff need it for loans and rent.

Can I give a salary slip when I pay in cash?

Yes. Use the daily wage or monthly format, set the payment mode to cash, and ask the worker to sign. Keep one copy for yourself.

Why does the bank ask for 3 months of salary slips?

Banks check your monthly income before they give a loan or a credit card. Each month's slip should show the same company, the employee's details and the net pay that reached the bank account.
