How to use BizlumoAI
Every screen, step by step. Start with sign-up, do the first setup, then learn each page of the web admin, the mobile app and the face check-in kiosk.
Using an AI assistant? Give it llms.txt. It lists every section of this guide as a short text file, so nothing is cut off.
What BizlumoAI is
BizlumoAI is HR software for Indian businesses. It keeps staff records, attendance, leave, salary and HR reports in one place, so you do not need Excel sheets and WhatsApp groups to run HR.
The product has three parts that work together.
| Part | Who uses it | What it is for |
|---|---|---|
| Web admin (Admin Console) | Owner, HR, accounts | Setup, approvals, salary, reports and settings |
| Mobile app (Android) | Every employee, and admins on the move | Check-in, leave, payslips, expense bills, notices |
| Face check-in kiosk | Staff at the entrance | Walk up, look at the camera, attendance is marked |
Using the links in this guide
In the steps, a page name shown as a link opens that page in BizlumoAI. Log in first. If you are not logged in, the link shows the login page, and you can click the link again after logging in. The Subscription page opens only for the account owner, and a page whose feature is turned off will not open until you turn it on in Settings → Modules.

Which features do you need
You do not need every feature. Start with the few that fit your business and add more later. Each feature page in this guide has a When to use it table with more detail.
Everyone needs these
- Company details, at least one shift, and your employees.
- One way to take attendance.
- Leave types and holidays, which come ready-made.
Pick your way to take attendance
The kiosk is optional. Any business can use BizlumoAI with or without it, and you can mix methods. The Face check-in kiosk page lists every combination in detail.
| Your situation | Use | Do not use |
|---|---|---|
| Everyone walks in through one door | Face check-in kiosk on a phone or tablet | GPS check-in. It adds nothing |
| Sales, delivery or site staff who are away all day | Check-in from their own phone with GPS and a work site | A kiosk they would have to travel to |
| Staff work from home | Open shift with check-in from their own phone | GPS Geofence. They are not at a work site |
| You already own a fingerprint machine | Connect the machine, or upload its file | A second method for the same people. Two records cause disputes |
| Staff have no smartphones | Kiosk at the door, with Employee Self Login off | Leave and expense requests in the app. An admin enters them instead |
| A helper or two paid in cash | Mark attendance by hand from the admin screen | Shifts, rotations and work sites |
Add these only if they match how you work
| If you… | Turn on | Leave off if… |
|---|---|---|
| Pay salary through the bank and deduct PF, ESI or tax | Payroll with statutory deductions, NEFT bank export, Compliance | You pay everyone in cash with no deductions |
| Pay by days or hours worked | Daily-wage payroll, Hourly / Part-time employees | Everyone has a fixed monthly salary |
| Run more than one shift | Shift management and Rotation | Everyone works the same hours |
| Have branches, outlets or project sites | Work sites and Multi-worksite attendance | You work from one place |
| Run more than one legal firm | Companies | Your branches belong to one firm. Use work sites |
| Pay staff back for travel, fuel or food | Expense claims | The company pays those bills directly |
| Give loans or salary advances | Loans & advances | You never lend to staff |
| Ask staff to work on holidays and give a day off later | Compensatory off | You pay extra money instead |
| Have HR, accounts and branch heads sharing the work | Admin users and Roles | You are the only admin |
| Hire often | Job referrals | You are not hiring now |

2. Attendance rules
Where: Settings → Attendance. Time: about 2 minutes.
When to use it
| Feature | Use it when | Skip it when |
|---|---|---|
| Monthly Salary Proration: By working days | You want pay cut for absent days. Right for most companies | You pay a fixed salary no matter the attendance. Choose None |
| GPS Geofence | Staff check in from their own phones and must be at the site | Everyone uses the kiosk at the door, or people work from home |
| Employee Self Login | You want staff to apply for leave, see payslips and send bills in the app | Staff do not have smartphones. They can still use the kiosk |
| Missed check-out: Auto-close at shift end | People often forget to check out and you trust the shift time | You pay overtime by the minute. Use Flag for manual review |
| Missed check-out: Mark as Absent | You want a strict rule that makes people check out | It would be unfair for field staff with poor signal |
| Multiple Sessions Per Day | Staff leave and come back, such as split shifts or site visits | A normal office with one check-in and one check-out |
| Send daily reminders | People forget to check in and it causes pay disputes | Everyone uses the kiosk at the door |
Setups that work
| Setup | Good for | How to set it up | Keep in mind |
|---|---|---|---|
| Fixed salary, no cuts | Small offices that pay the same every month | Monthly Salary Proration: None. Missed check-out: Auto-close at shift end | Attendance is still recorded, it just does not change pay |
| Pay cut for absent days | Most shops, offices and factories | Proration: By working days. Tick your working days | Clear correction requests before payroll, or pay will be cut wrongly |
| Six-day week | Shops, factories, clinics | Tick Mon to Sat under Working Days | Sunday work can earn comp off if that feature is on |
| Five-day week | IT and professional offices | Tick Mon to Fri | People are never marked absent on Saturday or Sunday |
| Strict factory rules | Units that pay by exact hours | Missed check-out: Flag for manual review or Mark as Absent. Set the hours tiers, such as 8 hours = 1 day, 4 hours = half day | Someone must clear the review list every day |
| Field team | Sales, delivery and service staff | GPS Geofence on, with work sites added. Send daily reminders on | Add the work sites first, or every check-in fails |
| Work from home | Remote and hybrid teams | GPS Geofence off for them. Use the Open attendance method on their department | Hours still count if they check in and out |
| Split shifts | Restaurants, salons, staff who go out and come back | Multiple Sessions Per Day on | Hours from each session are added together |
| Paid overtime | Factories and sites that pay extra hours | Tick overtime on the department or the shift. Set the OT Safety Window | Overtime days are not closed at shift end. They close after the safety window |

Every field on this tab, with its choices, starting value and an example, is explained in Settings: Attendance.

3. Turn features on or off
Where: Settings → Modules. Time: about 1 minute.
When to use it
| Feature | Use it when | Skip it when |
|---|---|---|
| Turning a feature on | Your team will really use it this month | You only want to look. Extra menus confuse new admins |
| Turning a feature off | Nobody uses it and you want a shorter menu. Your data stays safe | You still need its old records in reports this month |
| Cash payroll register, Daily-wage payroll | You pay helpers in cash or by days worked | Everyone is on a monthly salary paid to the bank |
| Tips / commission | Restaurants, salons and sales teams with pay on top of salary | Salary is the same every month |
| PF, ESI, Professional Tax, TDS | Your company is registered for them | A very small shop with no registration. Leave them off |
Setups that work
| Setup | Good for | How to set it up | Keep in mind |
|---|---|---|---|
| Retail shop or small store | A counter team paid mostly in cash | On: kiosk mode, cash payroll register, notice board. Off: statutory items if you are not registered | Add expense claims later if staff start buying things for the shop |
| Restaurant, café, salon | Shift teams with tips or commission | On: shift management, tips / commission, kiosk mode, comp off | Turn on Multiple Sessions in attendance rules for split shifts |
| Factory | Shop-floor teams with full deductions | On: biometric devices or kiosk mode, shift management, PF, ESI, Professional Tax, loans & advances, comp off | Fill in PAN, UAN and ESI numbers for every employee |
| IT or professional services | Salaried teams | On: PF, TDS + Form 16, NEFT bank export, expense claims, documents, awards, referrals | Leave shift management off if everyone keeps the same hours |
| Construction, logistics, field services | Many sites and daily wages | On: worksite management, multi-worksite attendance, daily-wage payroll, expense claims, loans & advances | Add one work site for each project |
| Household staff or a tiny team | One to five people | Keep almost everything off. Attendance, leave and payslips are enough | A short menu is easier to use |
| Group of companies | Different kinds of firms under one owner | Set the features separately inside each company | What you turn off in one company stays on in the others |
Your business type switched on some features. Open Settings, click the Modules tab and tick the others you need. A feature that is off disappears from the left menu. Your data is kept, and it comes back when you turn the feature on again.
All 22 features, what each one adds, and which business type turns which on, are listed in Settings: Modules.
Click Save Module Settings when done.
4. Departments
Where: Departments. Time: about 45 seconds to add one.
When to use it
| Feature | Use it when | Skip it when |
|---|---|---|
| Adding departments | You want reports, shifts or approvals split by team | You have fewer than 5 people. One department is enough |
| Employee ID Prefix | You want IDs that show the team, such as DSP-001 | One simple ID series is easier for you |
| Attendance Method per department | One team works differently, such as sales in the field (GPS only) and office staff (Face only) | Everyone checks in the same way. Use the company default |
| Merge into another | Two teams have joined, or a department was made by mistake | You only want to rename it. Use Edit |
Setups that work
| Setup | Good for | How to set it up | Keep in mind |
|---|---|---|---|
| One department | Teams of fewer than five | Put everyone in one ready-made department | You can split later. Use Merge if you made too many |
| By type of work | Most companies: Sales, Accounts, Operations | Keep or rename the ready-made ones. Add your own | Reports and filters use these names |
| By branch | Small chains where each outlet is one team | Make one department per outlet | Work sites already split attendance by place. Use departments for the kind of work if you can |
| Office and field teams | Companies with a sales or service team | Office departments: Face only. Field departments: Face + GPS | Each team then checks in the right way without extra setup per person |
| Shift per department | Factories and hospitals | Set a Default Shift on each department | A shift set on one person wins over the department shift |
| Department heads who approve | Larger teams | Set the Department Manager. Give that person an admin login limited to the department | They see only their own people |
| IDs by department | Companies that want IDs like DSP-001 | Type an Employee ID Prefix on the department | Only new employees get the prefix |
| Contract workers apart | Units with contractor staff | Make a separate department. Tick Overtime tracked and set its own missed check-out rule | Reports can then show contract staff on their own |

- Delete works only when the department has no employees.
5. Shifts, rotations and breaks
Where: Shift and Rotation. The page has three tabs: Shift, Rotation and Break.
When to use it
| Feature | Use it when | Skip it when |
|---|---|---|
| One default shift | Everyone works the same hours | Do not make extra shifts you will not assign |
| More shifts | Teams start at different times, or you run a night shift | Timings differ by only a few minutes. Use the grace period |
| Open (flexible hours) shift | Work from home or field staff with no fixed start time | You need to mark people Late |
| Rotation | The same people change shifts on a repeating pattern, such as factories, security and hospitals | Shifts never change. Assign the shift directly |
| Break rules | You want lunch taken off worked hours, or a limit on break time | You do not track breaks. Leave the ready-made rules |
| Allow Overtime | You pay for extra hours | Extra hours are not paid. It only adds numbers to reports |
Setups that work
| Setup | Good for | How to set it up | Keep in mind |
|---|---|---|---|
| One shift for all | Offices, shops, clinics | Keep General Shift as the default. Change its times to yours | Check the full-day hours match the shift |
| Two or three fixed shifts | Shops open late, hospitals, call centres | Create each shift. Assign by department or by employee | People stay on the same shift until you move them |
| Rotating shifts | Factories and security teams | Create the shifts, then a rotation such as 6 days morning, 6 evening, 6 night | Staff see their roster in the app under My Roster |
| Changing weekly off | Retail and restaurants open all week | Make a rotation with Rest day rows, such as 6 days work then 1 rest | Give each group a different start date so the shop is never empty |
| Night shift only | Guards, night dispatch | Create a shift with Type: Night (overnight) | The check-out on the next morning belongs to the same shift |
| Flexible hours | Work from home, senior staff, field teams | Create a shift with Type: Open (flexible hours) | Nobody on it is marked Late |
| Paid overtime | Sites that pay extra hours | Tick Allow Overtime on the shift | Overtime hours appear in reports and can be added on the payslip |
| Unpaid lunch, paid tea | Most Indian workplaces | Break tab → Quick policy → Lunch unpaid · short breaks paid | Lunch minutes are taken off worked hours |
| Strict break limits | Shop floors and call centres | Set Max breaks per day and Max break minutes per day in the Policy box | A new break is blocked once the limit is reached |
| No break tracking | Small teams | Leave the ready-made rules. Nobody needs to punch breaks | The shift break minutes are still taken off if auto-deduct is on |
Create a shift
Time: about 40 seconds.
- Open Shift and Rotation and click + Create Shift.
- Type the Shift Name.
- Pick the Type: Regular, Night (overnight) or Open (flexible hours).
- Click Start Time. Pick the hour and minute, then click Set. Do the same for End Time.
- Check Break (minutes) and Grace Period (minutes). Grace is how late someone can be before they are marked Late.
- Check the Full Day threshold (hours) and Half Day threshold (hours). These count the time from check-in to check-out, with the break included. The form shows both figures, for example "Net hours 8.0h · at work 9.0h including the break", so a 09:00 to 18:00 shift meets an 8.5-hour full day.
- Optional: tick Default Shift (used for anyone with no shift) and Allow Overtime.
- Click Create Shift.
To put people on a shift, click the three dots on the shift and choose Assign to employees, or set it as a department's default shift.
Create a rotation
Time: about 50 seconds.
A rotation is a repeating pattern, such as 5 days morning shift then 2 days off.
- Open Shift and Rotation, then open the Rotation tab and click + New rotation.
- Type a Name and a Description.
- Check the Default anchor date. The pattern starts counting from this day.
- Under Cycle pattern, set each row: which shift (or Rest day), how many days, and a short label.
- Click + Add segment for more rows.
- Look at Next 14 days from today (preview) to check the pattern.
- Click Create rotation.
Then click Assign on the rotation, pick the employees and a start date, and click Save assignments. Employees see their roster in the app under My Roster.
Break rules
Time: about 20 seconds for the quick policy.
- Quick policy — one click for "Lunch unpaid · short breaks paid", "All breaks unpaid" or "All breaks paid".
- Break types — add your own with + Add type. Each is Paid or Unpaid, with an optional paid cap in minutes.
- Per-shift break policy — for each shift, the expected break minutes, whether it is taken off automatically, and caps.
- Policy — daily paid-break cap, maximum breaks per day, maximum break minutes per day, auto-close an open break at check-out, and require check-in before a break.
How hours are counted: unpaid break minutes are taken off worked hours. Paid minutes are not. A paid break with a cap counts as paid up to the cap.
6. Work sites

When to use it
| Feature | Use it when | Skip it when |
|---|---|---|
| Adding a work site | Staff check in by phone and you want to know they are at the right place | You only use one kiosk at one door and do not need site reports |

| Client locations | Service engineers, auditors, staff placed at a client | Add each client place as a work site | People can check in at any active work site |
| Large campus | Factories, warehouses, colleges | One work site with 300 metres or more | Too small a distance refuses people at the far gate |
| No work sites | Kiosk-only companies and fully remote teams | Skip this page. Keep GPS Geofence off | You can add sites later without losing anything |

8. Salary rules
Where: Payroll → Templates and Payroll → Statutory.
When to use it
| Feature | Use it when | Skip it when |
|---|---|---|
| Allowance and deduction templates | Most staff get the same allowance, such as HRA or travel | Each person has a different pay structure. Set it on the employee |
| Percentage of Base Salary | The amount should grow with salary, such as HRA at 40% | It is the same rupee amount for everyone. Use Fixed Amount |
| Provident Fund (PF) | Your company has a PF registration | You are not registered. Leave it off |
| ESI | You are registered and some staff earn ₹21,000 or less | Everyone earns more than ₹21,000. It will not apply anyway |
| Professional Tax (PT) | Your state charges it | Your state does not charge it, such as Delhi or Uttar Pradesh |
| Employer PAN, TAN and signatory | You deduct TDS and give Form 16 | Nobody on your rolls pays income tax |
Setups that work
| Setup | Good for | How to set it up | Keep in mind |

| Deduction | Rule used |
|---|---|
| Provident Fund (PF) | Employee 12% and employer 12% of basic, in whole rupees. Basic counts as at least half of pay. The wage limit is ₹25,000 a month from 17 September 2026 and was ₹15,000 before. The employer share is shown as cost to company and is not taken from net pay |
| ESI | Employee 0.75% and employer 3.25% of pay including overtime, rounded up to the next rupee. Applies when salary is ₹21,000 or less (₹25,000 for a person with disability). Someone who crosses the limit stays covered until the end of September or March |
| Professional Tax (PT) | State slabs. 14 states come ready-made: Karnataka, Maharashtra, West Bengal, Tamil Nadu, Telangana, Andhra Pradesh, Gujarat, Kerala, Odisha, Madhya Pradesh, Puducherry, Assam, Bihar, Jharkhand |
| TDS | The tax for the whole year, less the tax already taken, spread over the months left. So a raise, a bonus or a new declaration is caught up in the next payslips. Based on the employee's New or Old regime |
The sources for these rules are listed under Compliance.

- Type the New Base Salary. The Change preview shows the rise or cut in rupees and percent.

- Open the Full & Final tab. The preview lists earned salary for the part month, leave encashment, notice shortfall and loan recovery. Leave encashment pays only Earned, Privilege or Annual leave, and only the days earned up to the last working day. Someone who worked two months of the year is paid for about two months' share of the yearly days, less any days already taken.
- Click Finalise FnF & Generate PDF. After this the numbers are locked.
- Click Download PDF, or Email to Employee to send it.
Gratuity is not included in the settlement yet. The Full & Final statement does not take off income tax. If you make a payslip for the person after their Last Working Day is recorded, the tax for the year is settled in that payslip.

Open Payroll. It has three tabs: Payslips, Templates and Statutory.
Make one payslip
Time: about 40 seconds.
- On the Payroll page, pick the month at the top. Click the month box, then a month. Use the arrows to change year.
- Click + Generate Payslip.
- Pick the Employee, Month and Year. The Base Salary fills in.
- Check the Allowances & Deductions rows. Rows with a red border are deductions. PF, ESI and PT are worked out when you save. If the employee has rows of their own, your company's PF, ESI and Professional Tax rows are added as well.
- Optional: type Overtime Hours and Notes.
- Click Generate Payslip.
Make payslips for everyone
- Open Payroll and click Generate All.
- Confirm. Payslips are made for every active employee for the month. Payslips already marked as sent are skipped. Piece-rate employees are skipped.
- A second question asks whether to overwrite payslips already made this month. Choose Skip existing to keep them, or Overwrite to make them again. Approved expense claims stay on a payslip that is made again.
Each employee needs a base salary before a payslip can be made. If one is missing, open the profile and use Revise Salary.
How a payslip is worked out
- Start with the base salary.
- Adjust for days worked, using your salary proration rule.
- Add allowances and overtime. With a proration rule on, a fixed allowance follows the same share of the month as the base salary: 3 days worked out of 25 pays 3/25 of a ₹2,000 allowance. Hourly, daily and weekly staff get fixed allowances only in a month they attended.
- Add approved expense claims for that month.
- Take off the employee's PF, ESI, Professional Tax and TDS when they apply. PF is in whole rupees and ESI is rounded up to the next rupee. TDS is the tax for the whole year, less what was already taken, spread over the months left. The employer's PF and ESI share is not taken off. It is printed in its own box at the bottom of the payslip.
- Take off any loan or advance instalment.
- What is left is the Net Pay.
In the list, the department is under the employee's name, and expense claims paid with the salary are shown under the allowances.

| Employer's Contributions | The PF and ESI your company pays for this employee. It is shown for information and is not taken from the salary |
The company details come from Settings, and the PAN, UAN, ESI number and bank details from the employee's profile. Fill those in so the slip has no blanks.

Good to know
- PF wage limit. It is ₹25,000 a month from 17 September 2026 and was ₹15,000 before. The system picks the right limit for each month.
- New form names. From the financial year 2026-27, Form 16 is called Form 130 and Form 24Q is called Form 138. Older years keep the old names.
- Unpaid days. When salary is cut for absent days, the ECR file shows those days as NCP days.
- Someone leaving. A payslip made after the Last Working Day is recorded settles that person's tax for the year.

How Settings works
Where: Settings, at the bottom of the left menu, under Access & Settings.
Settings has five tabs: Company, Attendance, Devices & Kiosk, Security and Modules.
- Each tab has its own save button at the bottom. A change is not kept until you click it.
- Saving one tab does not save the others. Save each tab you changed.
- Settings belong to one company. If you run a group of companies, switch company at the top right and set each one.
- Only admins whose role allows Settings can open this page. The owner who signed up always can.
- You can open a tab straight away with a link: add
&tab=company,&tab=attendance,&tab=devices,&tab=securityor&tab=modulesto the Settings address.
The "New company starts with" column in the tables below shows what a company has right after sign-up, before anyone changes anything.

Settings: Attendance
Where: Settings → Attendance. Save button: Save Attendance Settings.
The Attendance tab has six parts: Working Hours, Day Calculation Rules, Verification, Missed Checkout Policy, Session Mode and Attendance Reminder Notification.
Working Hours
These are backup values. Once you create a shift on the Shift and Rotation page and give it to a department or a person, the shift's own times and grace win. You only need these for people with no shift.
| Field | Choices | New company starts with | What it does |
|---|---|---|---|
| Hours Per Day | 1 to 24, in steps of 0.5 | 8 | A full working day for someone with no shift |
| Late Arrival Cutoff | A switch and a time | On, 9:30 AM | When on, a check-in after this time is marked Late for someone with no shift. For someone with a shift, Late means after the shift start plus the shift's grace minutes. When the switch is off, nobody is ever marked Late |
| Working Days | Mon, Tue, Wed, Thu, Fri, Sat, Sun (tick any) | Mon to Sat | Days people are expected at work. Nobody is marked absent on an unticked day. Payroll counts the working days in a month as the ticked days minus holidays |
| Monthly Salary Proration | None, By working days, By calendar days. Each is explained in the table below | By working days | How a monthly-salary person's pay changes for days not worked: absence, unpaid leave, or joining or leaving mid-month. Hourly, daily, weekly and piece-rate staff are always paid by attendance, whatever this says |
Monthly Salary Proration, the three choices
Example: a person on a salary of ₹26,000 a month. The month has 30 days, of which 26 are working days. The person was present for 24 days and absent for 2.
| Choice | What it means | Pay in the example |
|---|---|---|
| None | The full salary is paid every month. Absent days, unpaid leave and joining or leaving mid-month do not reduce it | ₹26,000 |
| By working days (recommended) | Pay is reduced only for working days missed. Pay = salary × days present ÷ working days in the month. Working days are the days ticked under Working Days, minus holidays | ₹26,000 × 24 ÷ 26 = ₹24,000 |
| By calendar days | Pay is worked out on every day of the month, 28 to 31. Pay = salary × days present ÷ days in the month. Weekly offs and holidays count as not present, so pay is lower | ₹26,000 × 24 ÷ 30 = ₹20,800 |
Use By working days unless your accountant asks for something else. Use None only if you pay a fixed salary whatever the attendance.
The payslip shows how the pay was worked out, for example "Basic (24.0 / 26 working days × ₹26000.00)".
Day Calculation Rules
These rules turn the hours someone worked in a day into the days counted for attendance and pay. Each row says "if worked at least X hours, count Y days". Rows are checked from the most hours down, and the first row that fits is used. Fewer hours than the lowest row means Absent (0 days).
A new company starts with these six rows:
| Min Hours ≥ | = Days |
|---|---|
| 17.5 | 3 |
| 15.5 | 2.5 |
| 13.5 | 2 |
| 11.5 | 1.5 |
| 8.5 | 1 |
| 4 | 0.5 |
So 9 hours counts as 1 day, 5 hours as half a day, and 3 hours as absent.
- + Add Tier adds an empty row. Type the hours (0 to 48) and the days (0 to 10, in steps of 0.5). Rows sort themselves as you type.
- The × button on a row removes it.
- ↺ Reset Defaults puts back the six rows above. It is not saved until you click Save Attendance Settings.
- A row with 0 days is ignored when saving.
| Setup | Good for | Rows |
|---|---|---|
| Office, 8-hour day | Most offices | 8 = 1, 4 = 0.5 |
| Factory, 9-hour shift | Shop floors | 8.5 = 1, 4 = 0.5 (the default lower rows) |
| Long shifts count extra | Sites and plants where double shifts happen | Keep the default rows above 8.5 |
| No half days | Places that pay only full days | 8 = 1 only |
Verification
| Switch | New company starts with | When ON | When OFF |
|---|---|---|---|
| GPS Geofence | Off | People checking in from their phone must be inside the radius of an active work site. Otherwise the app refuses with "You are N m from 'Site'. Must be within R m". Add at least one work site first, or every phone check-in fails | Phone check-ins are accepted from anywhere. The nearest work site is still recorded |
| Employee Self Login | On | Employees log in to the mobile app to see payslips, apply for leave, send expense bills and see their attendance | The app refuses employee logins with "Employee self-login is disabled for your organization. Contact your admin." Staff can still check in at the kiosk, and admins enter their leave and expenses |
Missed Checkout Policy
What happens to a day when someone checks in and forgets to check out. It runs by itself every night at midnight.
| Field | Choices | New company starts with | What it does |
|---|---|---|---|
| Company Default Action | Auto-close at shift end time / Mark as Half Day / Mark as Absent / Calculate from min hours / Flag for manual review | Auto-close at shift end time | The rule used for every missed check-out |
| Grace Period | 0 to 480 minutes, in steps of 15 | 30 | How long after shift end to wait before closing the day, for people who do not do overtime |
| OT Safety Window | 1 to 12 hours | 4 | For people who may do overtime: their day is left open after shift end, and closed only this many hours later |
What each action does:
| Action | Result |
|---|---|
| Auto-close at shift end time | Checks the person out at their shift end time. Hours are worked out to that time |
| Mark as Half Day | Counts 0.5 day, whatever the hours |
| Mark as Absent | Counts 0 days. The strictest choice |
| Calculate from min hours | Works out the hours up to shift end, then applies the Day Calculation Rules |
| Flag for manual review | Leaves the day for an admin to fix on the Attendance page |
Who counts as doing overtime: people in a department with Overtime ticked on the Departments page, or on a shift with Allow Overtime on.
Session Mode and Attendance Reminder
| Field | Choices | New company starts with | What it does |
|---|---|---|---|
| Multiple Sessions Per Day | On / Off | Off | Off: one check-in and one check-out a day, right for most offices. On: people can check in and out many times a day, for example out for lunch and back. Each pair is a session, and the hours of all sessions are added up |
| Send daily reminders | On / Off | Off | Sends one SMS a day to anyone on a shift who has not checked in by shift start plus the grace minutes. Works for morning, evening and night shifts. Skips holidays and approved leave. Goes out only when BizlumoAI's SMS service is switched on for your account |
| Grace minutes | 0 to 240, in steps of 5 | 30 | How long after shift start to wait before reminding. A 09:00 shift with 30 minutes reminds at 09:30 |
Choosing attendance settings
Settings: Devices & Kiosk
Where: Settings → Devices & Kiosk. Save button: Save Devices & Kiosk Settings. Kiosks pick up a change the next time they sync with the server.
The tab has four parts: Verification, Kiosk Security, Kiosk Audio and Biometric devices.
| Field | Choices | New company starts with | What it does |
|---|---|---|---|
| Face Verification | On / Off | On | On: a person must match their registered face to check in, at the kiosk or in the app. The server checks the match too. Off: check-in does not need a face match, only the location or the tap. Faces are registered in the mobile app. Like GPS Geofence, this applies only to people whose department or profile has no attendance method of its own |
| Kiosk Liveness Level | Fast, Balanced, Strict | Balanced | Meant to set how hard the kiosk checks that a real person, not a photo, is in front of it |
| Kiosk Face-Match Strictness | Strict, Balanced, Relaxed, Lenient | Balanced | Meant to set how close a face must be to the registered face |
| Kiosk Audio Alerts | On / Off | On | A sound on the kiosk after each check-in: two rising tones for success, a low buzz for no match or an error, one middle tone for a warning. Turn off in quiet places. The screen still shows the result |
Biometric devices is where you connect a fingerprint machine (eSSL, Realtime, Matrix COSEC, ZKTeco, or a custom JSON one). Click + Register device, give it a name, pick the vendor and copy the Push URL into the machine. Refresh reloads the list. The full steps are in Fingerprint machines. For a file of punches exported from a machine, use Device Import on the Attendance page instead.
| Setup | Good for | How to set it up | Keep in mind |
|---|---|---|---|
| Normal office | Offices, clinics, shops | Face Verification on. Audio on | The safe starting point |
| Quiet workplace | Clinics, libraries, offices | Kiosk Audio Alerts off | The screen still shows the result |
| No face check | Trusted small teams using phones | Face Verification off | Check-in then depends only on location or the tap |
| Fingerprint machine at the gate | Factories that already own a machine | Register the device here, then link machine users to employees | Give each person one way to check in |

Settings: Modules
Where: Settings → Modules. Save button: Save Module Settings.
Each tick turns one optional feature on for this company. Turning a feature off:
- hides its menu item and page. A saved link to it shows "feature not enabled";
- keeps all its data. Turn it back on and everything is there again.
Applying a business type on the Company tab replaces these ticks with that type's set. Saving with no change shows "No changes to save". After saving, the message says how many modules changed, and the left menu updates.
The grey text at the right of each row (for example attendance.kiosk) is the feature's internal name. Support may ask for it.

Face check-in kiosk
Do you need the kiosk?
No. The kiosk is one way to take attendance, not a must. Any business can run BizlumoAI without it. You can also mix methods, with one team on the kiosk and another on their own phones.
The ways to take attendance
| Way | What you need | Who it suits |
|---|---|---|
| Kiosk | One Android phone or tablet at the door, in Kiosk Mode | People who come in through the same entrance |
| Own phone, face and location | Each employee has the app. Employee Self Login is on. A work site is set | Staff who must be at a known place |
| Own phone, face only | Each employee has the app. Attendance Method is Face only | Staff who move around, where the place does not matter |
| Own phone, location only | Attendance Method is GPS only. A work site is set | Staff in helmets or masks, or with weak phone cameras |
| Own phone, open | Attendance Method is Open | Work from home and travelling staff |
| Fingerprint machine | A machine you already own, connected or with its file uploaded | Factories and offices that already use one |
| Entered by an admin | Nothing. Use Record Punches, Mark Absent/Leave or a CSV upload | A few helpers, or days when devices fail |
You set the Attendance Method for the whole company, for one department, or for one person when you assign a shift.
Combinations that work
| Combination | Good for | How to set it up | Keep in mind |
|---|---|---|---|
| Kiosk only | Shops, clinics, small offices, factories where staff have no smartphones | Put one device in Kiosk Mode at the door. Register each face once. Attendance Method: Face only | Field staff cannot check in. Leave and expenses are entered by an admin if Employee Self Login is off |
| Own phones only, no kiosk | Startups, agencies, small teams, any business that does not want a shared device | Turn on Employee Self Login. Register each face. Attendance Method: Face + GPS with a work site, or Face only | Staff without a smartphone need an admin to enter their day |
| Own phones with location, no kiosk | Sales, delivery, service and site teams | Add each work site with its allowed distance. Turn on GPS Geofence. Attendance Method: Face + GPS | Check-in is refused outside the allowed distance. Make the distance big enough for large sites |
| Own phones, work from home | Remote and hybrid teams | Attendance Method: Open, or Face only. Put these people on an Open (flexible hours) shift if they have no fixed start time | Do not use GPS Geofence for them. They are not at a work site |
| Kiosk for the office, own phones for the field | Companies with office staff and a sales or service team | Office departments: Face only, using the kiosk. Field departments: Face + GPS, using their phones | Set the method on the department, so each team gets the right one |
| One kiosk at every branch | Retail chains, restaurants, clinics with many outlets | Add one work site per branch. Put one device at each. Assign each employee a primary work site | Use the Site Attendance report to compare branches |
| Several kiosks at one place | Large factories, warehouses, sites with more than one gate | Log in to Kiosk Mode on a device at each gate | Add devices if there is a queue at shift change |
| Kiosk with shifts or rotations | Factories, hospitals, security teams, round-the-clock work | Create the shifts and the rotation. Assign people. The kiosk marks late and half days by each person's shift | Check the night shift is set as Night (overnight) |
| Kiosk with many check-ins a day | Restaurants with split shifts, staff who go out and return | Turn on Multiple Sessions Per Day | Hours are added up across the sessions |
| Fingerprint machine only | Factories and offices happy with their machine | Register the machine and link its users to employees, or upload its file | The app is still useful for leave, payslips and expenses |
| Fingerprint machine for the floor, own phones for the field | Manufacturing units with a sales team | Floor staff stay on the machine. Field departments: Face + GPS | Give each person one method only. Two records for one person cause disputes |
| Fingerprint machine now, kiosk later | Moving away from an old machine | Keep the machine running. Register faces. Move one department at a time to the kiosk | Tell staff the date their department changes over |
| Admin marks attendance, no devices | Household staff, a helper or two, very small shops | Use Record Punches and Mark Absent/Leave from the Employees page | Simple, but someone must do it every day |
| Attendance uploaded from a sheet | A contractor or supervisor sends you a register | Use Bulk Import on the Attendance page with the CSV template | Upload before you run payroll. Importing again updates the same days |

- Put the device on a stand at the entrance, plugged in to power.
How employees use it
- Walk up and face the camera.
- The kiosk recognises the face in about a second.
- Attendance is marked. The first time in the day is check-in, the next is check-out.
There is no button to press and no PIN to remember.
Why a photo will not work
The kiosk checks that a real person is there. It looks for seven signs: a blink, a small head turn, movement, depth, the dot pattern of a phone screen, the way light shines on skin, and skin texture. It needs four of the seven within one or two seconds. A photo or a video on another phone is refused.
Messages you may see
| Message | What to do |
|---|---|
| "Low light — come closer to a light" | Move to a brighter place |
| "Face the camera directly" | Look straight at the screen |
| "Hold still…" | Stop moving for a moment |

Works without internet
The kiosk saves punches on the device when the network is down and sends them when it returns.
Kiosk Diagnostics
Admins can open Kiosk Diagnostics to view recent errors, clear the saved face data, or clear waiting punches.

Common questions
How long does setup take?
About 10 minutes for the basics: sign up, company details, a shift, a work site, your first employee and salary rules. Add about 30 seconds per employee to register a face.
What do I need for face check-in?
Any Android phone or tablet you already have, with a working front camera. Use one device for each entrance.
Can one employee check in for another?
No. The kiosk matches the face and checks that a real person is present. A photo will not work.
What happens when I add my 11th employee on the Free plan?
You are asked to move to a paid plan. All your data and setup stay as they are.
An employee cannot log in to the app. What should I check?
- Employee Self Login is on in Settings → Attendance.
- The employee is using their Employee ID, not their email.
- The employee is Active. Reset the password from the row menu if needed.
Check-ins are failing after I turned on GPS check-in.
Add at least one work site with a map pin and distance, and assign it to the employee.
The payslip amount looks too low.
Salary is counted by days worked. Check the employee's attendance for the month and your Monthly Salary Proration rule in Settings → Attendance.
PF or ESI is not showing on the payslip.
Turn them on in Payroll → Statutory. Also check that PF applicable and ESI applicable are ticked on the employee's form. ESI applies only when gross salary is ₹21,000 or less.
A payslip cannot be made for an employee.
The employee needs a base salary. Open the profile and use Revise Salary to set it.
Can I move my data from another HR tool?
Yes. Use the CSV import for employees and attendance. Our support team can help with the move.
